Understanding Traveler Payments and Booking Commitments

What you need to know about bookings

When a traveler books with LuggageHero, payment is committed upfront.


Even though the final charge is processed when the bags are collected, every booking includes a reserved payment authorization.

As a storage manager, you can be confident that every customer arriving with an active booking has already committed to paying for their storage.


Purpose

To explain how traveler payments, authorizations, and timers work across all booking types (hourly, daily, multi-day, and walk-ins).

1. Traveler payment commitment

  • At the time of booking, LuggageHero reserves the required payment amount on the traveler’s card.

  • This authorization hold ensures funds are available when the storage service begins.

  • The final payment is automatically processed when the storage timer stops or the booking period ends.

Key takeaway: Every traveler arriving with an active booking has already pre-authorized their payment.


2. Hourly bookings

How it works:

  • Upfront commitment: LuggageHero reserves the cost of 2 hours per bag + fees.

  • Timer usage:

    • Start the storage timer at drop-off.

    • Stop it at pickup to finalize the total charge.

  • Insurance: The bag guarantee applies only while the booking is active.

  • Automatic closure: If the traveler doesn’t stop the timer, the system ends it automatically at closing time and charges the owed amount.

  • Failed payments: Retried automatically. If still unsuccessful, handle as an in-store payment.


3. Daily bookings

How it works:

  • Upfront commitment: The system reserves the day rate per bag + fees at booking.

  • Timer usage: Start at drop-off, stop at pickup.

  • Automatic deactivation: If not checked out by closing, the system charges for a full day.

  • Final payment: Processed upon collection of bags and stopping the storage timer.


4. Multi-day bookings

How it works:

  • Upfront commitment: The traveler commits to the entire multi-day period.

  • Pricing: Based on the total number of days selected.

  • Automatic deactivation: The system ends the booking at the end of the reserved period and processes the payment automatically.

  • Failed payments: Retried automatically; if unsuccessful, handle as an in-store payment.

📍 To check a multi-day booking:

Dashboard → Account → Your Storage Locations → Bookings → Active

The total booked days appear next to the booking ID.


5. Walk-in bookings

How it works:

  • Walk-ins must create bookings directly at your location by scanning your HeroCode QR.

  • A payment authorization is placed when the booking is created.

  • The timer starts automatically when the booking is confirmed.

  • Payment is processed in full upon pickup.


6. Booking notifications

You’ll receive automatic notifications for every key event:

  • Booking created

  • Booking canceled

  • Check-in confirmation (timer started)

  • Check-out confirmation (timer stopped, payment completed)

  • Payment failed (timer stopped, payment not finalized)


7. Booking issues

Uncollected bags

Go to:
Dashboard → Account → Your Storage Locations → Bookings → Active


Multi-day bookings display the whole storage period for tracking.

Payment not collected

  • Search your email for the booking ID to confirm payment status.

  • If not completed, contact partner support with the booking ID — we can retry the online payment.


8. Modifying a booking

  • At check-in, confirm that the number of bags matches the number in the booking.

  • Customers can modify their booking before check-in, including:

    • Number of bags

    • Drop-off/pick-up dates

    • Pricing model

  • After check-in:

    • Only the pick-up date can be changed for daily or multi-day bookings.
